OFFICE NOTICE NO – 03/15 YAO 

POSITION : Receptionist

SECTION : Corporate Service 

GRADE : A1 (L)

POSITION TYPE : 7 Months Contract

Main Purpose of the Job

Deliver excellent customer service. Provide secretarial, clerical and administrative support in order to ensure services are provided in an effective and efficient manner.

Roles and responsibilities / what will the jobholder be expected to achieve?

  • Meet and greet visitors in a friendly and polite manner.
  • Answer calls politely, quickly & efficiently and make sure they are routed to the appropriate authority & department based on the caller’s request.
  • Deal with all visitor queries and request in person or via email or telephone 

Administrative Duties

  • Reply to emails & enquiries in French and English
  • Prepare invitations, name cards & menu cards for receptions & follow up for confirmation
  • Build good working relations with secretaries in other diplomatic missions & offices
  • Sign for packages and mails (including diplomatic bag) as they arrive and distribute accordingly 
  • Keep record of all outgoing & incoming diplomatic notes, fax transmission requests, and official mails.
  • Perform general clerical duties including photocopying, faxing, filling and ensuring equipment is in good condition
  • Print High Commissioners, Deputy and Vice Consul Daily calendars for driver and inform guards of expected guests
  • Draft and keep appropriate records of correspondence & Diplomatic Notes 
  • Update the Contacts 5.6 Database with new contacts and details of British High Commission events

Other Office Duties

  • Prepare outgoing unclassified diplomatic bags, sort content and route to the appropriate persons or department 
  • Backup PA/HC    
  • Other adhoc duties such as managing office stationery, maintaining public notice boards and organising transport for staff as necessary.

Language requirements: 

Language: English and French 

Level of language required: English (excellent) and French (intermediate)

Other skills / experience / qualifications: 

  • Essential on arrival: Word / Excel / Outlook
  • Desirable: Secretarial experience in a fast paced office environment – experience in a diplomatic mission is an added advantage
