Procurement Analyst

Job Purpose/Summary
The Procurement Analyst ensures the availability of required generic materials and services for the business sourced both locally and overseas. He/she interfaces with internal customers, vendors and freight forwarders to achieve the best value outcome for the company.
Key Accountabilities/Result Area
- Responsible for the acquisition of material in the most cost-effective manner that guarantees quality and value for money.
- Negotiate and manage cost-effective long-term pricing agreements for generic commonly-used materials to secure beneficial terms and conditions for the Company.
- Monitor requests from the business and ensure team members maintain a good understanding of products, quality and procurement guidelines.
- Manage the supplier – requestor product specification - clarification process, and ensure specialized and complex information to either party is properly managed to fully satisfy end-user needs.
- Track all Purchase Orders (POs) and expedite deliveries to ensure on schedule delivery. Alert end-users of any potential delivery problem and initiate an alternate plan to satisfy the Business.
- Carry out (with HSSE Dept) HSSE audit of major vendors for production materials of high value and or high risks.
- Ensure open beneficial communication with vendors and carry out performance assessments especially on strategic and critical vendors. Follow up on actions for improvement to guarantee enhanced and sustainable supplies.
- Develop positive procurement relationships with End Users, Subject Matter Experts in Headquarter, Suppliers and deliver significant cost savings through the management of contracts and assurance of contractor performance.
- Responsible for reporting the procurement KPIs monthly t and quarterly to management.
- Ensure materials are delivered in line with Company HSSE Management Standard; fully participate in all HSSE activities and awareness sessions to improve Company HSSE culture and performance.

Dimensions
- Total yearly procurement value: USD 15 Million USD
- Total yearly number of orders placed: 1,000 (85-90 order/month)
- Savings ensured to the Company: per target set annually.
Key Challenges
- Secure sufficient knowledge of future demand to influence users to plan realistic Required-On Site dates.
- Work under pressure.
- Reduce supplier lead times to meet business needs and manage the tension between delivery schedules and inadequate requisitions lead times.
- Manage inadequate information on requisitions, e.g. inadequate specifications.
- Secure correct and timely reports to the company.
- Requires good working relationships with the end-users.
- Ensuring compliance with SCM procedures.
- Limited local market information, sources of supply and available quality commodities.
Experience / Competence & Requirements
- B.Sc. in any business discipline.
- At least 3 years’ experience in EP operations, with at least 2 years in Contracts and Procurement.
- Certification in Purchasing & Supply (CIPS) Levels 4 & 5 is an advantage.
- Knowledge in negotiation.
- Good knowledge of the materials/services used in the energy sector.
- Good knowledge of local and overseas supply markets.
- Excellent time management, organization, planning, execution and reporting skills.
- Ability to work independently in a fast-paced and dynamic environment.
- Being able to work under pressure and sometimes long hours.
- Effective verbal and written communication skills.
- Proficiency in Excel, PowerPoint and ERPs.
- High moral & ethical standards.
- Good customer/client relationship management.
