The U.S. Embassy in Yaounde has an opening for a Deputy Motor Pool Supervisor/Dispatcher. Thisposition is located in Yaounde.

Position: Deputy Motor Pool Supervisor/Dispatcher (FSN-06; FP-08)

Work Hours: Full time 40 hours/week

Grade: FSN-06; FP-08

BASIC FUNCTION OF THE POSITION

Under the direct supervision of the Motor Pool Supervisor, incumbent serves as Deputy Motor PoolSupervisor and back up Dispatcher in the Motor Pool section of the General Service Office. Dutiesinclude: assisting the Motor Pool Supervisor by scheduling driver shift schedules and making sure thatthey meet requirement expectations as per internal rules and regulations; providing daily support tothe Motor Pool Dispatcher by scheduling drivers and vehicles, completing vehicle request in the FleetManagement Information System (FMIS) module and supporting on all administrative duties; backingup the Motor Pool Supervisor in his/her absence.

Detailed Duties and Responsibilities:

  • Serves as Deputy Motor pool supervisor and back up Dispatcher in the GSO Motor Pool section. Assists the Motor Pool Supervisor by scheduling Drivers and make sure that they meet requirement expectations as per internal rules and regulations. Assist the Motor Pool Dispatcher by scheduling drivers and vehicles, completing vehicle request in FMIS and supporting on all administrative duties.
  • Back up the Motor Pool Supervisor on his absence.
  • Assists the Motor Pool Supervisor by scheduling driver shift schedules. S/He keeps the drivers informed about their monthly and weekly shifts and the shuttle rotations. Elaborates and submits to MTP the annual Motor Pool leave plan. On a weekly basis, on Thursday, draws up a shuttle pickup and departure program for American and TDYers commuters from residences or Hotel to work place ensuring pick up times are alternated and submitted for RSO’s approval.
  • After reviewing with the Dispatcher, s/he must receive approval from the Motor Pool Supervisor before sending drivers on long trips. The long trips must be distributed equally among all drivers, such as to avoid frustration within the section. S/He is responsible for following up all  travel authorizations until certification on the e2 solution travel program before the driver departs from the mission. Checks the drivers’ expenditures upon driver’s return from long trip. Sends the expenditures to the Motor Pool Supervisor for approval before submitting the voucher.
  • Ensures uniforms are presentable, vehicles are cleaned daily (particularly for Incidental pool vehicles), vehicles are fueled before close of business, and basic motor vehicles checks are made and documented. Report any inappropriate behavior, breach of rules observed or discovered to the Motor Pool Supervisor.
  • Assists the Motor Pool Supervisor by updating the ILMS/FMIS vehicles, employees and passengers information when necessary.
  • Provides daily support to the Dispatcher by completing and closing open trip tickets in the FMIS module. Creates the fuel ticket in the FMIS using external fuel pumps. Coordinates with the Mechanic Foreman the preventive maintenance schedule of all government owned vehicles (GOVs). Controls vehicle documentation to ensure registrations and insurance are current, valid and presentable.
  • Informs the Motor Pool Supervisor, the GSOs and the POSHO of any motor vehicle accidents or incidents; ensures drivers fill out and submit accident reports using DS-1664 to determine extent of preventability and accountability. 
  • May be required to serve as Drive/Expediter especially when coordinating motorcades and special events, or as necessary.

Qualifications Required

Education: Completion of High School (GCE “A” level, Baccalauréat or equivalent) is required.

Experience: At least two years of dispatching or related experience in transport and logistics(including chauffeuring skills) are required.

Language: Level III (Good Working Knowledge) Speaking/Reading/Writing English and French arerequired and will be tested.

Knowledge: Applicant must have a good knowledge of motor vehicle operation, safety, andautomotive maintenance cycle; must also know Cameroonian traffic regulations; and must have agood clerical skill. Job knowledge may be tested.

Skills/Abilities: The incumbent should have the ability to supervise and develop driver shiftschedules and out of duty station (TDY) trips, must be a computer literate – must be able to use ofthe following packages: MS Word, MS Excel, MS Outlook – and gain proficiency in the FleetManagement Information System (FMIS) module. The incumbent must also be able to work underpressure serving in a multicultural environment and should have a good interpersonal andcommunication skill. A valid driver’s license (Category B) is required. Skills and abilities maybe tested.
