JOB ADVERT: Admnistrative Assistant
The post is located in the United Nations Centre for Human Rights and Democracy in Central Africa in Yaoundé.
Under the guidance of the Director of the United Nations Centre for Human Rights and Democracy in Central Africa and the direct supervision of the administrative and finance associate, the incumbent performs the following functions:
- Assists in the planning of field mission for staff;
- Assists in the organization of meetings and workshops, including with other logistical arrangements;
- Assists in the elaboration of service provider’s data base in collaboration with the IT
- Assists in updating information in CARO data base in all the domains mentioned;
- Carries out physical inventory of office equipment in collaboration with the IT and under the supervision of the administrative and finance associate;
- Draft answers to letters quoted to the administration cluster by the head of office;
- In collaboration with the Administration intern, perform a weekly inventory of office equipment and advice on replenishment accordingly;
- Take notes and minutes in meetings, both internal and external as requested;
- Maintains a good electronic and hard copy filing system;
- In collaboration with the administration intern and under the supervision of the administrative and finance associate, update personnel electronic attendance record
- Monitors the use of office fuel in collaboration with drivers
- Assist in recording and monitoring expenditures on various budget lines
- Performs any other duties as assigned by the Director and the administrative and finance associate.
Qualifications/Compétences
- Completion of secondary education and certificate/training in secretarial or administrative duties;
- Minimum of 4 years of relevant work experience in the field of administration or human resource management or logistics ;
- Attention to detail and excellent interpersonal, organizational and communication skills are essential;
- A good knowledge of UN rules and procedure would be an asset
- Knowledge of UN working rules and procedures is an advantage;
- Ability to work in a team, under pressure and with less supervision
- Knowledge and use of a wide range of computer applications-in particular, Microsoft Word, Excel, PowerPoint and the Internet;
- Proficiency in English or French and good working knowledge of the other language.
