Plan Cameroon is looking for a suitable candidate for the position of Administrative Assistant for Biteng Program Unit. The contract is for one year renewable.

Purpose of the role

The Administrative Assistant ensures the timely of materials, supplies and equipment, inventory management, vehicle maintenance and cleanliness of the Program Unit.

Main responsabilities

The Administrative Assistant assists the Administrative Coordinator in the following tasks:

  • To ensure the bulk purchasing (twice per year) of vehicles parts, office and sponsorship supplies and materials
  • Make the monthly analysis of vehicles and operationnal costs reports
  • Ensure the renewal of insurance and vehicle registration
  • Prepare the semesterly Physical inventory

Key End Results of Position

  • Canvass commonly needed goods and services of the Program Unit;
  • Ensures timely canvass of commonly needed goods and services of the Program unit through Drivers to obtain proforma invoices
  • Maintain/update lists of prices of commonly used goods and services as well as goods and services providers list yearly in accordance with Administrative Coordinator
  • Provides logistical support to program Unit staff meetings and training
  • Arranges and coordinates logistic and accomodation requirements of Program Unit including mettings in communities
  • Provides the Program Unit in warehousing and other logistical support
  • Checks, monitor and maintain accurate stock cards daily for all supplies/stocks in the stockroom
  • Prepares accurate delivery receipt after receipt of supplies/materials and issues based on approved requisition and prepares standard office forms for deliveries
  • Performs the monthly physical count of inventories
  • Arranges daily mail/correspondence with other work units for deliveries/distribution
  • Manages the operation and maintenance of Program Unit.

Qualification and Experience

  • University Degree or two years University Certificate (ie. BTS, DEUG)
  • At least 2 years experience of purchasing, maintaining inventories and materials
  • computer literate
  • Ability to use general office equipment such photocopiers, printers, etc.

Travel requirementsThe incumbent is located at Program Unit Office
