Position Description – Purpose (Key roles and responsibilities)
The Systems Accountant is responsible for the administration of all of the Finances Department’s key applications, including SUN (accounting), Proactis (purchase-to-pay and warehousing), B4B (vendor payment instruction database) and E-Remit (remittance advice). This role ensures the integrity of financial databases and provides support to Finance in all matters of information management. Additionally, the Systems Accountant maintains Addax’s register of Authorisations for Expenditure (AFEs), which forms a critical control over both capital and operating expenditure.
Position Description – Accountabilities (including KPIs)
Principal deliverables and accountabilities include:
- Administration of all finance applications, including: ownership of statutory & group chart of accounts, analytical mapping, asset registers, supplier registers; management of AFEs; new user set-up; general user support; and system troubleshooting.
- Working with the business to define system changes / upgrades that may improve efficiency.
- Ensuring that the monthly cutback process for JV accounting & partnership billing is accurate.
- Administration of all interfaces to SUN and ensuring accurate data flow with no errors or rejections.
- Ensuring all approved AFEs are correctly set-up in SUN and Proactis at the correct values, as well as maintenance of files containing originals of signed AFEs.
- Ensuring the integrity of systems controls related to Finance applications. Controls shall be maintained in accordance with Addax’s SOX controls and include controls over user access rights, approval workflows, system passwords, and execution and proper recording of master data changes.
- Remaining up-to-date with latest applications developments and patch releases.
- Interfacing with the Systems Accounting team in Addax’s Geneva head office on application issues.
- Interfacing, normally in coordination with the Geneva Systems Accounting team, with application vendors and support consultants to plan for system maintenance, changes or upgrades.
- Leading (at a local level) any projects to roll-out new Finance applications. (In 2014, Addax will upgrade its SUN accounting system and roll out a new time-writing system.)
- Provision of user training for both new and existing users on all finance systems. (May require occasional travel offshore.)
- Organisation of the financial close process, including establishment of the close timetable.
Experience and Qualifications Required (capabilities):
This position requires that the employee have strong numerical and financial capabilities.
- Bachelors Degree in IT, finance or accounting.
- Prior experience in a systems administration role is a requirement. Experience in a finance or accounting department would be a distinct advantage, but is not a prerequisite.
- Prior experience working with either SUN or Proactis is strongly desired.
- Strong interpersonal skills are absolutely critical to develop good working relationships with internal and external counterparties. Ability to engender credibility and trust with system users and co-workers.
- Must have a proven ability to work independently in a fast-paced and dynamic environment, while also ensuring that details are correct.
- Must be effective under pressure, with an ability to work irregular hours during monthly financial close process.
- Oral and written fluency in English is required. Proficiency in French would be advantageous, but is not required.
